Default Fonts: Moving between Mac (design) and PC (editorial)

In a workflow where designers working with Indesign CS3 in a macintosh environment are working with an editor in a Incopy CS3 Windows environment the editor is being prompted to find the fonts every time he opens a document sent by the designers, even though the fonts are installed on his machine. The fonts are a mix of opentype and postscript and trutype fonts - the only font recognized is the adobe ps font. This is more of a hassle than a catastrophic problem, though it is slow as some of the fonts, like Helvetica Neue have multiple weights and formats and each has to be linked to the document individually. Any suggestions on what the problem might be, and possible solutions, would be very appreciated.
